About the Role
We are a boutique cosmetic plastic surgery practice seeking a polished, warm, highly organized, energetic, and proactive individual who genuinely loves people and takes pride in delivering an exceptional, high-touch patient experience.
This role is for someone with impeccable attention to detail who anticipates needs before they arise, communicates with ease and poise, and thrives in a fast-paced yet refined environment where they can manage multiple priorities and task-switch smoothly.
Our board-certified plastic surgeon is renowned for first-class, highly personalized care, and this role is essential in upholding that standard at every touchpoint.
You will serve as the welcoming face and voice of the practice and act as a key support to our
Patient Coordinator / Practice Manager, helping ensure seamless daily operations.
Compensation:
$35–40/hr, based on experience | Compensation and performance reviewed
after 90 days, with potential for growth

KEY RESPONSIBILITIES
Patient Experience
- Greet and guide patients through a seamless, five-star experience
- Manage scheduling, confirmations, and communications across phone, text, and email
Anticipate patient and surgeon needs; handle inquiries with warmth and astute instincts
Operations & Coordination
- Keep the daily schedule optimized and running smoothly
- Track patient inquiries and leads, ensuring timely follow-up and conversion support
- Maintain accurate patient records, consents, and photo documentation in EMR
- Draft polished correspondence, proposals, and internal communications
- Process payments, deposits, and financing; complete daily reconciliation
- Assist with surgery workflow – booking forms, ordering supplies, paperwork
Office & Environment
- Maintain a pristine, well-stocked, and elevated front-office environment
- Coordinate with vendors, deliveries, and service providers Marketing & Practice Support
- Assist with light social media, marketing, and patient engagement efforts
- Patient photo management with creating and editing before/after photos
Compliance
- Uphold strict patient confidentiality and HIPAA standards at all times
What We’re Looking For
- 1–2+ years in a client-facing, front office, medical, or high-end hospitality/concierge
setting (aesthetic experience a plus) - Exceptionally polished, warm, and articulate communicator
- Highly organized with strong attention to detail and follow-through
- Energetic, proactive, and solution-oriented
- Someone who genuinely enjoys working with people and creating exceptional experiences
- Tech-savvy and quick to learn systems
- Bachelor’s degree preferred

You will work closely with and support the Patient Coordinator / Practice Manager, becoming a trusted right hand in both patient experience and front-office operations.
